Asset Management
The Office-Aide Asset Management component performs the following:
Create an unlimited number of asset classes (ex, PCs, printers, softwares, PDAs, cell phones...)
Store an unlimited amount of information about each class of asset (ex, Mfg, Model, Serial #...)
Store an unlimited number of assets
Create parent/child hierarchies between assets (ex, software loaded on a PC or PDA)
Assign an asset to a staff member
Assign an asset to a location
Comprehensive reporting capability
Terminations
A classic example where Office-Aide really shines is when someone is terminated. It is a simple matter to lookup the staff member who is leaving and print out a report of all assets assigned to them such as cell phones, laptops, printers, PDA's, software, manuals, gas cards, security cards, etc. And you can store as much detailed information about the asset as you wish so that you can be certain the asset being returned is the one originally assigned to the staff.
And if you are worried about your staff member denying possession of an asset, there is a form that can be printed out when they first receive the asset that they sign to acknowledge receipt of the asset.
Home Use
Have you noticed how equipment tends to disappear? Ever wondered where it went? With the trend toward telecommuting and more and more staff working out of their cars or homes, Office-Aide is a wonderful tool for tracking where equipment is located. Periodically printing out an asset report and performing a quick audit not only helps you to know where everything is, but perhaps more importantly lets your staff know that you won't let anything slip through the cracks.
Software Piracy Audit
Have you ever received an audit notice from the Business Software Alliance (BSA)? Did it send a chill up your spine? With Office-Aide you can track what licensed software is installed on all of your computers, and then it is a simple matter of printing a report and performing self-audits.
